Club Officers and their duties
A club officer plays a crucial role in Toastmasters International, influencing the success of the club and its members. Effective leadership and support create a positive environment for personal and professional growth, helping members achieve their Toastmasters education goals. The Club Leadership Handbook serves as a valuable resource for new officers.
President
As the club leader, you set the tone and provide supportive guidance for activities. You motivate members, mediate conflicts, and make decisions after consulting others. Show respect for all members, even during disagreements, and stay informed through the Leader Letter and Toastmasters website announcements.
VP Education
As vice president education, you schedule members’ speeches and projects and serve as a resource for questions about education awards, speech contests, and the mentor program. You are an important source of Toastmasters knowledge for club members, and it is your job to become familiar with all aspects of the Toastmasters education program.
VP Membership
As VP Membership, you promote the club by managing guest interactions and converting them into members. By welcoming guests and providing information, you ensure a steady flow of new members. Additionally, you monitor membership levels and collaborate with the executive committee to address any membership challenges.
VP Public Relations
As VP PR, you promote the club to the community and media, ensuring awareness of its benefits. Your responsibilities include updating web content, protecting the Toastmasters brand, writing news releases, creating fliers, and maintaining the club’s online presence. Stay informed on developments through The Leader Letter, Toastmaster magazine, and official Toastmasters channels.
Treasurer
As the club’s accountant, you manage the bank account, write approved checks, and deposit dues and revenues. Your responsibilities include submitting membership-renewal dues to World Headquarters, filing tax documents, and maintaining accurate financial records. Although the role is not the most demanding, timely and accurate completion is crucial for members. Stay updated through The Leader Letter and Toastmasters website announcements.
As the secretary, you manage club records, handle correspondence, take meeting minutes, and update the paid membership roster. Keeping the club officer list current is also part of your duties. While some clubs combine the secretary and treasurer roles, having a dedicated secretary helps lessen the treasurer’s workload and supports the vice president of education when needed.
Sergeant At Arms
As the sergeant at arms, you manage the club’s physical property, prepare and clean the meeting space, and maintain communication with venue contacts. You assist during meetings, contests, and events by escorting potential new members and ensuring a distraction-free environment for speakers. Stay informed through The Leader Letter and Toastmasters website announcements.
Past President
As the Immediate Past President (IPP), you will advise the Club President and support all club activities. You will counsel other officers to aid club success and participate in the Club Executive Committee with voting rights. Showing respect for all members, you will provide leadership, even during disagreements.
